Create a Learning Library Activity

Instructions

Creating the Activity

  1. Select "Create" from the navigation bar at the top
  2. Select "Learning Activity"
  3. Select "Organization-wide" learning activity

Note: Organization-wide activities can be accessed by employees across your entire organization and will appear in the Learning Library.

Adding Activity Information

  • Activity Title - Give your learning activity a title as it will appear in the Learning Library
  • Activity Type
    • Article - An article or reading that provides training
    • In-Person - Training provided in-person
    • Multiple / Hybrid - A session that has multiple formats. Ex: in-person timeslots AND a self-paced option
    • Online / Self-Paced - Training provided in a self-paced or on-demand format
    • Webinar - Training provided in an online video format in real time
  • Code
    • Use a four-letter representation of your area (e.g., "HRTD" for HR Talent Development)
    • Add a dash "-" followed by a number (e.g., "HRTD-1")
      Important: Keep track of your numbers as codes cannot be duplicated
  • Description - The Description appears as the "teaser description" in the Learning Library and enhances keyword searchability.
    •  Department offering the training
    • Type of format offered
      MUST include ADA accommodation information
  • Content Type
    • No Content - No additional content will be provided to learners after enrollment. This is often used for in-person or webinar activities where all of the content will be delivered at the event.
    • HTML - Provides additional description space. Can insert documents (PowerPoints), images/pictures, videos (via "Media" dropdown), or links
    • e-Learning - Launches learning modules for the learner.
  • SCORM course - Upload your SCORM package file for an online module. For SCORM 2004, SCORM 1.2, Tin Can, AICC, and AICC HACP content only
  • Contains activitites - Use this option to create a learning path
    • Select the plus "+" symbol to the right of "Contains Activities"
    • This opens the Learning Library
    • Select the square in the upper right of activities you want to link
    • Select "Okay" at the bottom
      Note: There is no way to sequence learning activities; activities with an "i" icon cannot be connected

Configuring Activity Options

  • Course Image - Upload an image to display in the Learning Library.
    • Select "Click or drag to upload an image" to open your computer files, or drag an image to the square
    • Upload a work-appropriate, activity-related picture
  • Important: Image must be no bigger than 350 pixels (350px) in dimension to fit without cropping
  • Duration
    • Enter a number in the Duration field
    • Select the dropdown to indicate time in "Minutes", "Hours", or "Days"
  • Administrator Managed - Learners cannot book without contacting the instructor outside the system
  • Requires Approval
    • Learners need approval before enrolling
    • Select the dropdown to choose approval workflow:
    • System generates email to the approver with instructions
      • "Learning approval - Activity Owner" (instructor approval)
      • "Learning approval - Manager" (supervisor approval)

Reassignable after completion - Activities can be reassigned to learners for additional completions. Used for renewable courses.

  • Generate certificate - Content Admin can create a certificate template for activity completion. When toggled on, the certificate text box becomes available.
  • Requires renewal
    • For certifications that expire
    • Enter a number in the text box
    • Select dropdown to indicate renewal period in "Days", "Months", or "Years"
  • Cost Associated
    • Note: System does NOT process funds
    • Select currency type from dropdown (e.g., "USD United States Dollars")
    • Enter numerical amounts for:
      Note: System does not calculate total cost
    • Activity cost
    • Cancellation cost
    • Other costs (text box for additional information)
  • Points Associated - Points can be assigned by content admins but are not part of official university records.
  • Feedback Survey
    • Prompts a standard system survey after activity completion
    • Select from Asynchronous or Synchronous LMS Survey based on activity format.
  • Booking Schedule
    • Shows time slots (dates, times, venues/locations)
    • Select from dropdown of previous schedules OR select plus "+" to create new schedule
  • Restrict Access - Limits visibility to specific groups
  • Linked Competencies
    • Associates competencies for searchability and filtering
    • Select plus "+" to the right of "Linked competencies"
    • Check appropriate competencies
    • Select relevant Level: "Employee", "Supervisor", or "Faculty"
    • Select "Link" when done
